Part 3: Archive and Delete Vendors and Tenants

Archiving or deleting vendors or tenants in your Jones account helps you keep the dashboard clean and improve your relationship with vendors and tenants by reducing unnecessary communication.

How to Archive Vendors in 3 Easy Steps

1. Locate Record

Go to the Vendor or Tenant tab of your Jones account, find the record of the vendor or tenant on your dashboard, and click on it. You will see three icons in the top right corner. Click on the vertical dot icon ⋮ (fun fact - those are sometimes called the "kebab menu"). 

2. Choose "Archive"

You will see four options once you click on the ⋮. You can choose the "Archive" or "Delete" options. Not sure which one to use? Later in this email, we'll explain the difference.

3. Archive!

Click Archive - and you are done!

Here's what happens next: this vendor or tenant will be removed from your Active section and will not receive emails from Jones (such as COI requests) or show up in your reporting.

You can easily restore this vendor or tenant at any time by searching for their name in your Jones account.

Why archive/delete vendors?

There are two reasons why we at Jones recommend that you occasionally archive or delete vendors or tenant from your account:

1. Housekeeping 🎯
It helps you to de-clutter your dashboard, get better visibility, maintain accurate reporting, and have better relationships with your vendors.

2. Communication ✉️

It helps you reduce unnecessary communication with vendors and tenants. Not going to have the building re-painted for at least two more years? No need to ask the painter to updated the expired COI in 6 months!

Archive vs. Delete

🚫 Deleting vendors:

When: A vendor/tenant is mistakenly added

Why: Prevent confusion and duplicates

What's next: All records and history will be permanently purged

Conclusion: Use this feature sparingly

vs.

⏹️ Archiving vendors:
When: You will be using the vendor again at a later date or want to keep the records
Why: Reduces unnecessary emails, declutters the dashboard

What's next: You can't see the record in the dashboard but can find it in search
